How to Automate Appointment Booking Over the Phone

Many calls to a practice or salon ask the same thing: do you have time on Thursday? How an AI phone assistant books those appointments straight into your calendar, what a call sounds like, and where you still need a person.

Short answer: Connect a calendar to an AI phone assistant, set the rules for when appointments are possible, and allow booking on calls. The assistant answers, offers free times, reads the caller's name back and books. You get an email, and the caller's number sits in the calendar entry.

How can I automate appointment booking through phone calls?

You need a calendar the assistant may write to, rules for what counts as a free slot, and a phone number that reaches the assistant. With WebChatAgent the setup has four steps:

  1. Pick a calendar. Google Calendar, or the built-in calendar if you don't use Google.
  2. Set the rules. Appointment length (30 minutes unless you change it), a buffer after each appointment, minimum notice and opening hours. Start times fall on a 15-minute grid, so nobody gets booked at 10:07.
  3. Allow it on calls. Booking is off for the phone by default. In the appointment settings you switch on "Allow on phone calls".
  4. Route the calls. Use an assistant number, or keep your business line and forward calls to it at your telephone provider.

One more thing pays off: put what callers ask before they book into the knowledge base. Services, prices, what to bring, where to park. Then the assistant answers that in the same call instead of booking someone who would have cancelled after the second question.

Phone appointment scheduling: three options

Not every business needs AI on the phone. The three usual ways to take bookings by phone each have a clear strength.

Touch-tone menu (IVR)

"Press 1 for appointments" sorts calls, but it books nothing on its own. Without a booking system behind it, the caller still ends up with a person or on voicemail. Good for routing, not for booking.

Answering service

Real people answer, they handle odd cases and they are friendly. You pay by the minute or by the call: Ruby, a US virtual receptionist service, lists 50 minutes for $250 and 100 minutes for $395 a month (as of October 2026). Whether they can book into your calendar depends on the access you give them.

AI phone assistant

Answers every call, at night too, takes several calls at once and books straight into the calendar. Its weak spot: unusual requests and callers who want a human no matter what. For those it puts the call through or takes a note.

Our take: if most of your calls are about times, an AI assistant takes that load off. If most calls need judgment, an answering service fits better. Many businesses mix both.

How to book appointments over the phone with AI: a sample call

A physiotherapy practice, Tuesday morning. The assistant has the practice calendar and the list of treatments.

  • Caller: "Hi, I'd like to book a massage next week."
  • Assistant: "Sure. I have Tuesday at 10 am or Wednesday at 3:30 pm. Which works better?"
  • Caller: "Wednesday."
  • Assistant: "May I have your name?"
  • Caller: "Anna Becker."
  • Assistant: "Anna Becker, did I get that right?"
  • Caller: "Yes."
  • Assistant: "One moment, I'm booking it. Done: Wednesday at 3:30 pm for Anna Becker."

Behind the scenes, the assistant checked the calendar before it offered anything and named two times, not seven. It reads the name back because phone lines garble names. It does not ask for an email address on the phone. Instead, the caller's number goes into the calendar entry so your team can call back. If someone else had taken Wednesday at 3:30 pm in the meantime, the assistant would have offered the nearest free time.

Can AI book appointments?

Yes, within your rules. The assistant books only times the calendar shows as free, checks for overlaps right before it books, and keeps to buffers, minimum notice and opening hours. A booking is only as good as the calendar, though: time your team blocks on a sticky note does not exist for the AI.

Callers can also cancel by phone. The assistant finds the appointment by its time and the caller's number. Rescheduling works as cancel and rebook in the same call.

Limits: what the phone assistant does not do

  • No written confirmation to the caller. The caller hears the confirmation in the call, you get the email. If your customers expect a text or an email, send it from your calendar or practice software.
  • No reminder calls. The assistant answers calls, it does not call people.
  • Two calendars. Google Calendar or the built-in calendar. Outlook is not connected.
  • No advice it was not given. It answers from your knowledge base. Medical or legal questions go to your team.

For bookings through the website chat, the same calendar and the same rules apply. How that works is in our guide to appointment booking with a chatbot.

What it costs

The phone is an add-on to the Basic chat plan or higher (€19 net per month). The entry voice tier is €39 net per month with 100 talk minutes and two calls at a time. Every started minute counts; test calls from the dashboard do not. All tiers are on the pricing page, and what the assistant does besides booking is on the phone appointment booking and AI phone assistant pages.

Let the phone book appointments

Common questions about booking appointments by phone

Connect a calendar, set the rules (length, buffer, minimum notice, opening hours) and let an assistant offer only free slots, on the phone and in the website chat. With WebChatAgent you also switch on "Allow on phone calls" for bookings by phone.

Yes. An AI phone assistant connected to your calendar offers free times, takes the caller's name, reads it back and books. It only books slots your calendar shows as free.

No. The caller hears the confirmation during the call. You get an email for every booking, and the caller's number is noted in the calendar entry.

Cancelling works: the assistant finds the appointment by its time and the caller's number. Rescheduling means cancelling and booking a new time in the same call.

Google Calendar or the calendar built into WebChatAgent. Outlook is not connected.
