How Much Does a Chatbot Cost in 2026? Honest Numbers, Not "It Depends"

The short answer: an AI website chatbot runs €0–100 per month as SaaS, €3,000–30,000 one-off from an agency – and if you build it yourself, the underestimated cost is not the API, it is your own time. Here is the breakdown, including our own prices.

Three price tags for the three ways to get a chatbot: SaaS subscription, agency project and in-house build

Few questions collect as many evasive answers as this one. The reason is simple: "a chatbot" describes three entirely different purchases – a software subscription, a service project, or an internal engineering effort. SaaS: €0 to €100 per month

Modern chatbot platforms are subscription software. You connect website content and documents, the bot answers from them – the tiers differ mainly in message volume and extra channels. Comparable tools sit in similar ranges, with two differences buried in the fine print: some count "credits" instead of messages, and some hide knowledge-base size behind expensive tiers.

The fine print also decides what a "message" is. With us, a customer question plus the AI answer counts as 2 messages; when the quota runs out you add capacity per add-on (€12 per 500 messages) without switching plans. Run your expected chat volume through the math once, honestly, before a low entry tier charms you.

An opinion while we are at it: for a website bot that answers questions and qualifies leads, anything above €100 a month is no longer a software price – it is consulting in disguise. Better to buy that consciously and separately.

Agency: €3,000 to €30,000 – for what, exactly?

An agency does not sell you a chatbot; it sells a project: process analysis, concept, CRM or ERP integration, prompt fine-tuning, training. Solid small-business projects land between €3,000 and €15,000 in practice; special requests and legacy systems push well past that. Add a maintenance contract of 10–20% of the project sum per year, because there almost always is one.

That money is justified when the bot has to reach deep into grown systems and nobody internal can absorb the learning curve. It is wasted when the deliverable turns out to be an FAQ bot with a lead form – you get that from SaaS for the monthly price of a lunch, and even API integrations no longer need a developer. When in doubt, ask for the specific process that justifies the budget. If the answer is "improving customer service", there isn't one.

In-house: the API is cheap, your team is not

The LLM API cost itself is a rounding error – a typical customer conversation costs fractions of a cent to a few cents depending on the model. Everything around it is what costs: a RAG pipeline that crawls, chunks and refreshes your content, embedding search, hallucination control, a chat widget, hosting, monitoring, model updates. That is two to four weeks of engineering for the first usable version – €8,000 to €20,000 at agency rates, and barely cheaper internally once you count opportunity cost. The hidden line items

Whatever the route, four costs rarely make it into any offer:

  • Knowledge upkeep. The biggest real effort. A bot is as good as the content it answers from; an hour a week for unanswered questions and corrections is an honest estimate.
  • Extra channels. The website is the start. WhatsApp is often a paid add-on, and an AI phone assistant starts at €39/month with 100 talk minutes on our platform.
  • Multilingual support. Included in modern platforms, a project per language in older rule-based systems. Check before, not after.
  • GDPR. Data processing agreement, EU hosting, deletion routines – part of the package with EU vendors, your own compliance project with US tools.

When does it pay off?

The math is unspectacular. If the bot answers questions worth 15 minutes of staff time per day, that is roughly 7.5 hours a month – about €225 at €30 fully loaded cost per hour, against a €35 subscription. The bot does not need to be brilliant; it needs to absorb the same routine questions every day, and it does that from day one, around the clock. The bottom line

Start free, measure four weeks of real conversations, then decide about an upgrade with data instead of gut feeling. Bring in an agency when a specific process with legacy integration justifies the budget – not before. And save the in-house build for the case where the chatbot is not a tool but the product.
